In short. A work account needs administrator-enabled Workspace apps, account access conditions, and readable Drive permissions to add a Drive file to Gemini.
Definition: A work account can be unable to add a Google Drive file to Gemini when the Workspace administrator has not enabled apps in Gemini, when the account does not meet the documented access conditions, or when Drive permissions prevent Gemini from reading the file. Google's file upload help makes administrator access a requirement for Drive uploads from work or school accounts.
Key facts
- Google's Gemini file upload help says that a Workspace administrator must enable access to apps in Gemini before a work or school account can upload files from Google Drive.
- The connected apps help requires a qualifying Google Workspace edition, Keep Activity turned on, and administrator-enabled app connections for a work or school account.
- Google's Workspace administrator guide says Workspace apps must be turned on to let users upload Drive files to Gemini.
- The same administrator guide says Gemini conversation history must be turned on for Workspace apps, and a disabled Workspace service makes its corresponding app unavailable in Gemini.
- Google's Workspace data access guide says Gemini has the same Drive access as the user and cannot access a shared file when its owner disallows download, copy, and print.
Which administrator setting controls Drive upload?
Google separates access to the Gemini app from access to Workspace apps inside it. The administrator guide, last updated 13 October 2026, states that the Workspace apps setting controls whether Gemini can use content from services such as Google Drive. It specifically instructs administrators to turn on Workspace apps to let users upload Drive files to Gemini.
The documented Admin console path is:
Menu > Gemini app > Apps > Workspace apps
The setting requires the Gemini Settings administrator privilege. An administrator can apply it to an organizational unit or configuration group, and Google says group settings override organizational units. A change can take up to 24 hours, although Google says it typically happens more quickly.
The Gemini app service is a separate gate. The administrator guide for that service says the default availability applies to users over age 18 with a license covered by the Workspace agreement. Its service-status setting controls access to gemini.google.com, the Gemini mobile apps, and Gemini in Chrome.
What account conditions and Gemini steps are required?
Google's connected-apps help lists three conditions for a work or school account: a qualifying Workspace edition, Keep Activity turned on, and administrator permission to connect apps to Gemini. The file-upload page adds that Drive uploads require connecting Google Workspace to Gemini Apps. If it is not connected, Gemini offers the option to connect it.
In the Gemini web app, the documented flow is to enter a prompt, choose Add files, and choose Add from Drive. The connected-apps instructions describe another route for referring to Drive content: enter @, select Google Drive, and use keywords from the file in the prompt. These are account and connection checks, so a visible Gemini chat alone does not establish that Drive upload access is available.
Can a file remain unavailable after the admin change?
Yes. Google says Gemini has the same Workspace data access as the user. A Drive file must be shared with that user, and its owner must allow the user to download, copy, and print it. A file can therefore remain unavailable when the user can see a sharing entry but the owner's restrictions prevent those actions.
The connected-apps help also records a format boundary for Drive content: Gemini Apps cannot access pictures and videos in Drive, including content that is not in a document, spreadsheet, presentation, or PDF. The file-upload help describes the Drive picker as adding a supported file, so the file's type matters alongside the administrator setting and the file's permissions.

FAQ
Does turning on the Gemini app also turn on Drive uploads?
No. Google's administrator documentation treats the Gemini app service and Workspace apps as separate settings. Drive uploads require Workspace apps to be enabled for the applicable account or group.
What should you ask your administrator to check?
Ask your administrator to check the Gemini app service, Workspace apps, Gemini conversation history, the Workspace service that owns the file, and the configuration group or organizational unit applying to your account. Also check whether the file owner allows download, copy, and print.
Why can a previously working chat still open after access is disabled?
Google says an existing chat remains available, but Gemini keeps access only to the information needed for the original prompt. It cannot access additional information from the app or service until access is enabled again.
